The ICUEE 2019 show will take place October 1 – 3, 2019 in Louisville, Kentucky. How can I get the latest news from ICUEE 2019? Any notice of cancellation of exhibit space by an exhibitor must be made in writing to Exhibition Management. This cancellation policy does not depend upon whether the exhibit space is resold or re-assigned. At no time will the deposit (50% of space cost) be refunded or credited elsewhere to an exhibitor canceling its space. Any company canceling its exhibit space on or after June 1, 2019, will not receive any refund due to the late date in which Show Management was informed of the cancellation. Yes, Exhibitors are authorized to park at the Kentucky Exposition Center for no charge during installation and dismantling days. There are a limited number of complimentary parking passes available to be used during show days. They can be picked up at the Show Management Office in South Wing B101 during the installation period. Otherwise, parking passes can be purchased for a reasonable daily fee of $10. Exhibitors will be directed to park in Lot J. My Exhibit I am thinking about exhibiting at the 2019 show, what should I do first? What is included in my exhibitor package plan? The following items are included in your booth: Standard/Inline booths will be furnished at no charge with an 8-foot high drape background and 3-foot high drape partitions. The shows online directory is live and attendees are beginning their planning for the show. The primary contact's email address will be used to login to the exhibitor service manual. The first time you login you will need to click on "Forgot Password" to set your password. How can I add my team to the Exhibitor Service Manual? You can add individuals by clicking on ‘My Team’ at the top of the Service Manual and then by clicking ‘Add User’. An email invitation will be sent to that representative to login into the Service Manual. Where can I find information on shipping my materials and move-in/move out? Information related to shipping, material handling and the move-in/move-out schedule can be located in the Exhibitor Service Manual under the ‘Shipping and Material Handling’ section. Will I have electrical access in my booth? All exhibitors will have access to purchase electrical from the Kentucky Expo Center through your Exhibitor Service Manual. Indoor Electrical Order Form Outdoor Electrical Order Form But please note that exhibitors in lots K and N will have no electrical service and lot L will have limited service. You may bring your own generator for power or order one through our show vendor, Sunbelt Rentals. Do I need to submit a tent notification form if we are not planning on having a tent in our space? Yes, The State of Kentucky has put in place rules and regulations for the safety and usage of tents and temporary structures at the Kentucky Exposition Center. All outdoor exhibitors must submit a form to show management indicating whether they will have a tent in their exhibiting space or not by July 19, 2019. Do I have to use the show vendor for tents or can we bring our own? Exhibitors are allowed to use their own tents for the show but must submit a tent notification form and specify that you are bringing a tent and the dimensions of the said tent. If you do not have a tent and are needing one, you can request one from Lincoln Tent. Do I need to submit a floor plan of our booth layout? Exhibit space that is 1,000 square feet or larger and outdoor crane exhibitors must submit floor plans to email@example.com no later than August 9, 2019. More information can be found in the shows Rules & Regulations. How do I register my Exhibitor Appointed Contractor (EAC)? EAC registration can be done through the Exhibitor Service Manual in the ‘EAC Registration Form’ menu item. Access to this can be done through the Exhibitor Dashboard. How do I go about obtaining a service vehicle pass? Outdoor exhibitors are allowed one service vehicle onto the grounds prior to exposition opening and allowed to leave after the exposition closes each show day. The vehicle must be parked within the exhibitor’s assigned exhibit space. Vehicles may enter with a special pass attached to the bumper. There is a $30.00 fee for the vehicle pass. Complete the Vehicle Pass Request Form in the Exhibitor Service Manual. Am I required to have a certificate of insurance? If so, where do I send it? Exhibitors must provide Show Management with a Certificate of Insurance for workers' compensation and employers' liability, comprehensive general liability, and automobile liability insurance. The policy must provide the minimum limits listed below: The workers' compensation and employers' liability insurance must provide a minimum limit of $500,000 and meet the requirements established by the State in which the Show is being held. Comprehensive general liability coverage must provide at least $1 million/$2 million in coverage. Automobile liability should include all owned, non-owned and hired vehicles with limits of $500,000 bodily injury and $500,000 property damage liability. The exhibitor should name the Association of Equipment Manufacturers, the Kentucky Exposition Center and Fern Exposition as additional insureds. Show Management must receive the Certificate of Insurance by August 9, 2019. How do I rent meeting space at the show? We have allocated a limited number of meeting rooms at the Kentucky Exposition Center for meetings, offices, storage, hospitality or entertainment. Where can I unload my drivable and rolling equipment? Any exhibitors who have any drivable and rolling equipment, please contact show management to schedule a target move-in date. For all exhibitors, shipping to the advance warehouse allows you to ship your items to the show grounds starting September 3, 2019, and be placed in storage until move-in begins. All direct deliveries, including mobile equipment, will be directed to the marshaling yard, located in Lot H; Where it will be released for booth delivery or dock access after clearance from the appropriate lot manager. If you are able to unload your equipment with no assistance, there will be no material handling and freight charges. If you are not there when your shipment is received or you need assistance, the KEC will charge you a labor and equipment charge. I need access to a loading dock to unload my equipment, where do I go? A single trailer, adjustable height, loading dock will be available daily, on a first come, first served basis in each outdoor exhibit area H, L, & K. There is no charge to utilize the docks as long as assistance is not required. Should assistance be required, arrangements can be made with the KEC in advance and onsite. Due to limited loading dock facilities, Show Management encourages all outdoor exhibitors to use self-unloading/loading trailers. this will expedite the unloading/loading of equipment and make installation/dismantle more efficient. To request use of a loading dock, please complete the Loading Dock Request Form by September 6, 2019. Where is the marshaling yard? All direct to booth shipments must check into the marshaling yard located in Lot H. While entering any of the gates to the show grounds; you will be directed from that gate to go around the expo center to get to Lot H. Exhibitors also have the option to utilize the FREE options in the marketing kit to send direct mail postcards or emails to invite their customers and dealers at a discounted rate with the use of the Promo Code to the show. Non-industry guest can be registered for the show through the exhibitor registration portal through the Exhibitor Dashboard. While registering, be sure to indicate that they are ‘non-industry guest’ and not ‘exhibit staff’. How can I get my badge after I register? Badges can be picked up at multiple locations throughout the Kentucky Expo Center as well as when you arrive in Louisville at the airport. There is a badge pick up counter right at the airport you can use to skip the lines at the convention center or you can pick up your badge in the North Lobby badge pick up area at the convention center. The best way to see what housing is available is to login to your Exhibitor Dashboard. We have links to alternative options throughout the Louisville area through Airbnb, VRBO, Booking.com, and surrounding campground areas. Can I earn Hotel Loyalty/reward points if I book a room through the show block? Yes! We want to make sure you are earning all of your reward points. When making your reservation, you have the ability provide a hotel loyalty point/reward number when entering your contact information, just as you would if you were making a reservation on a hotel site. Typically accounts reflect points a few weeks after you have departed. What is the cancellation policy if I am needing to cancel my room?
