We have allocated a limited number of meeting rooms at the Kentucky Exposition Center for meetings, offices, storage, hospitality or entertainment. The shows newsroom is located in the East Hall in Room 3 where you can drop off your press kits starting the day prior to show opening. My Exhibit Space How can I edit my company information for the online directory? The shows online directory is live and attendees are beginning their planning for the show. To update your Exhibit As name or Primary Contact, please contact us at either firstname.lastname@example.org or 800-867-6060. Can I bring in my own food and beverages to hand out to attendees? Onsite food preparation by exhibitors is not permitted at the KEC. Exhibitors wishing to provide food service for distribution to staff and attendees must arrange for its preparation and services with the exclusive caterer designated bt the KEC. Alcohol is strictly prohibited in all exhibit areas during installation, dismantling and show hours. Exhibitors can serve alcoholic beverages during post-show functions in their assigned exhibit space. However, the operation or starting up of machinery is NOT ALLOWED by attendees during post-show functions at any time when alcoholic beverages are being served. Do I need to submit a tent notification form if we are not planning on having a tent in our space? Yes, The State of Kentucky has put in place rules and regulations for the safety and usage of tents and temporary structures at the Kentucky Exposition Center. All outdoor exhibitors must submit a form to us indicating whether they will have a tent in their exhibiting space or not and who is providing the tent as well. If you do not have a tent and are needing one, you can request one from Lincoln Tent. Am I required to have a certificate of insurance? If so, where do I send it? Exhibitors must provide Show Management with a Certificate of Insurance for workers' compensation and employers' liability, comprehensive general liability, and automobile liability insurance. The policy must provide the minimum limits listed below: The workers' compensation and employers' liability insurance must provide a minimum limit of $500,000 and meet the requirements established by the State in which the Show is being held. Comprehensive general liability coverage must provide at least $1 million/$2 million in coverage. Automobile liability should include all owned, non-owned and hired vehicles with limits of $500,000 bodily injury and $500,000 property damage liability. The exhibitor should name the Association of Equipment Manufacturers, the Kentucky Exposition Center and Fern Exposition as additional insureds. Show Management must receive the Certificate of Insurance by August 9, 2019. Exhibitors must have their stands completed and empty crates tagged and ready for removal no later than Monday, September 30, 2019 at 5:00 p.m. Any indoor booth with crated display materials remaining unattended after 5:00 p.m. on Monday, September 30, 2019 may be erected or placed in storage at the discretion of Exposition Management. Outdoor exhibitors with exhibit materials remaining unattended after 6:00 p.m. on September 30, 2019 are subject to be erected or placed in storage at the discretion of Exposition Management. All charges for labor, etc. will be charge to the exhibitor on record. Exhibitors can start dismantling their stands start at show close at 2:00 p.m. All exhibitor material must be cleared from the facility by 7:00 p.m. Friday, October 4, 2019. To ensure all material are cleared by this deadline, all carriers must check-in no later than 5:00 p.m. on Friday, October 4, 2019. A clean floor policy will be implemented for ICUEE 2019. All crates must be labeled and ready for pick up by 5: 00 p.m. on Monday, September 30, 2019, in all halls and lots. Crates not labeled and materials remaining unattended after 5:00 p.m. on September 30, 2019, may be placed in storage at the discretion of show management. Labor and material handling charges will apply if this policy is not met. All aisles must be 100% clean of product, ladders, gang boxes or any other items that may impede the final aisle clean up and installation of aisle carpet by 5:00 p.m. on Monday, September 30, 2019. Privately Owned Vehicles (POV) can be loaded and unloaded by exhibitors at no charge. Check in at Parking Lot F, where you will be released for booth delivery or dock access after clearance from the appropriate lot manager. Where can I unload my drivable and rolling equipment? Any exhibitors who have any drivable and rolling equipment, please contact show management to schedule a target move-in date. For all exhibitors, shipping to the advance warehouse allows you to ship your items to the show grounds starting September 3, 2019, and be placed in storage until move-in begins. If you are able to unload your equipment with no assistance, there will be no material handling and freight charges. If you are not there when your shipment is received or you need assistance, the KEC will charge you a labor and equipment charge. I need access to a loading dock to unload my equipment, where do I go? A single trailer, adjustable height, loading dock will be available daily, on a first come, first served basis in each outdoor exhibit area H, L, & K. There is no charge to utilize the docks as long as assistance is not required. Should assistance be required, arrangements can be made with the KEC in advance and onsite. Information and pricing are available on the KEC Labor & Equipment Service Order Form. Due to limited loading dock facilities, Show Management encourages all outdoor exhibitors to use self-unloading/loading trailers. this will expedite the unloading/loading of equipment and make installation/dismantle more efficient. To request use of a loading dock, please complete the Loading Dock Request Form by September 6, 2019. Where is the marshaling yard? All direct to booth shipments must check into the marshaling yard located in Lot H. While entering any of the gates to the show grounds; you will be directed from that gate to go around the expo center to get to Lot H. The primary contact's email address will be used to login to the exhibitor service manual. The first time you login you will need to click on "Forgot Password" to set your password. How can I add my team to the Exhibitor Service Manual? You can add individuals by clicking on ‘My Team’ at the top of the Service Manual and then by clicking ‘Add User’. An email invitation will be sent to that representative to login into the Service Manual. Will I have electrical access in my booth? All exhibitors will have access to purchase electrical from the Kentucky Expo Center through your Exhibitor Service Manual. Indoor Electrical Order Form Outdoor Electrical Order Form But please note that exhibitors in lots K and N will have no electrical service and lot L will have limited service. You may bring your own generator for power or order one through our show vendor, Sunbelt Rentals. How do I go about obtaining a service vehicle pass? Outdoor exhibitors are allowed one service vehicle onto the grounds prior to exposition opening and allowed to leave after the exposition closes each show day. The vehicle must be parked within the exhibitor’s assigned exhibit space. Vehicles may enter with a special pass attached to the bumper. There is a $30.00 fee for the vehicle pass. Complete the Vehicle Pass Request Form in the Exhibitor Service Manual. How do I register my Exhibitor Appointed Contractor (EAC)? EAC registration can be done through the Exhibitor Service Manual in the ‘EAC Registration Form’ menu item. Access to this can be done through the Exhibitor Dashboard. Where are the exhibitor service desks located?
